Job Title: Document Controller

Job Summary: As a Document Controller, your primary responsibility will be to manage and control the flow of documents within the organization. You will play a crucial role in ensuring that all documents are accurately recorded, organized, and easily accessible. The Document Controller will work closely with various departments to establish and maintain effective document management processes, ensuring compliance with industry standards and company policies.

Key Responsibilities:

  1. Document Management:
    • Receive, review, and organize incoming documents.
    • Ensure all documents are properly categorized, labeled, and stored in a systematic manner.
    • Maintain an up-to-date document control system to track revisions, approvals, and distribution.
  2. Version Control:
    • Implement and manage version control systems for documents.
    • Monitor changes to documents and ensure that the latest versions are accessible to authorized personnel.
  3. Distribution:
    • Coordinate the distribution of documents to relevant departments or individuals.
    • Track and confirm receipt of distributed documents.
  4. Collaboration:
    • Collaborate with various departments to gather and organize documentation.
    • Liaise with project teams to ensure that all relevant documents are captured and maintained.
  5. Compliance:
    • Ensure compliance with industry standards, regulatory requirements, and company policies.
    • Conduct regular audits to verify document accuracy and integrity.
  6. Training:
    • Provide training to staff on document control procedures and best practices.
    • Support departments in maintaining compliance with document control processes.
  7. System Maintenance:
    • Maintain and update document management software/systems.
    • Troubleshoot any issues related to document control systems.
  8. Reporting:
    • Generate regular reports on document control activities.
    • Highlight any issues, discrepancies, or areas for improvement.

Qualifications:

  • Bachelor's degree in a relevant field or equivalent work experience.
  • Proven experience as a Document Controller or in a similar role.
  • Strong knowledge of document control principles, practices, and software.
  • Familiarity with industry standards and regulatory requirements.
  • Excellent organizational and communication skills.
  • Attention to detail and accuracy.
